Data Submission Portal Update and File Naming Standards

As part of the Department’s enterprise data warehouse project a new Data Submission Portal (DSP) is currently being provided to Private Hospitals for the submission of PHDB data files. This follows the successful rollout of the DSP to private health insurers for the submission of HCP1, HCP2 and GTD data files. The DSP has been rolled out to a pilot group of private hospitals. Once feedback from this pilot launch has been analysed we will progressively make the DSP available to the remaining hospitals in small groups.

Until you migrate to the DSP, please continue to submit your data files through the existing submission channels (ie. via email or via the current HCP secure web portal). The data submitter listed for each private hospital will receive an email from the Department once they are scheduled to be included in the roll out.

In order for your files to be correctly processed by the Data Submission Portal your submitted files are required to follow the file naming standards:
PHDB: ProviderNumber(underscore)PHDB(underscore)MonthYear
example: 0123456T_PHDB_042013.txt

HCP1: InsurerCode(underscore)HCP1(underscore)MonthYear
example: ABC_HCP1_042014.txt

HCP2: InsurerCode(underscore)HCP2(underscore)MonthYear

GTD: InsurerCode(underscore)GTD(underscore)MonthYear

All files are to be saved as text files (.txt)

Please update your file naming arrangements as soon as possible. Do not wait until your organisation migrates to the DSP.

More detailed information about the specifications for PHDB files can be found on the Health website.
